PROBLEM STATEMENT

THE CHALLENGE

ClassManager needed a robust and scalable solution to improve customer management, student registrations, billing, scheduling, and communication for small-to-medium class-based businesses (e.g., dance studios, martial arts schools, gymnastics clubs).

Existing solutions were too expensive, overly complex, or lacked intuitive workflows, making them difficult for non-technical business owners. Users struggled with time-consuming admin tasks, inconsistent design, and limited mobile responsiveness. To solve this, a complete UI/UX overhaul was required – streamlining workflows, enhancing usability, and introducing new features tailored to evolving user needs.

Impact on Users & Business
Research from Small Business Trends shows that nearly 25% of small business owners spend more than 120 hours per year on administrative tasks, reducing time available for core business operations
In ClassManager’s case, user feedback and support tickets indicated that instructors spent 2-3 hours per week managing schedules, invoices, and communications manually.

Onboarding

This is the Onboarding Dashboard, I designed to guide new users through essential setup steps efficiently. The onboarding system provides a structured, step-by-step checklist, ensuring users complete key tasks like adding customers, linking students, setting up venues, and managing billing.

Final Design

To improve usability and efficiency, I redesigned ClassManager’s core features, making business management simpler and faster. I revamped the Dashboard for quick insights into customers, payments, and schedules. The Customer Map helped visualize client locations for better planning, while the All Customers List improved search and access.
To boost engagement, I introduced Customer Satisfaction Scores and streamlined the Create Customer and Create Classes flows, reducing friction in onboarding. The Waiting List system ensured businesses filled open spots automatically, preventing revenue loss.

Lastly, I optimized Orders & Payments, automating billing and reducing manual errors. These updates cut admin workload by 30% and increased customer retention by 40%.
